Terms to Use Venue
The person interested in booking The Cool Venue (TCV) must read through to the end before booking the venue. Booking our venue confirms you have read and agreed to all the terms listed below. Thank you for taking the time to read our detailed terms.

Add: $250 incidental/damage deposit (Due by a month before your event. The damage/incidental fee is returned within 5 days after the event when the venue is returned clean, with no damages to the space or equipment, no overtime, and violation of terms.)
A. Securing The Cool Venue for Use
1. A nonrefundable retainer of 50% of the total venue amount is required to reserve your date and time block. It is not refundable under any circumstance.
2. New Jersey sales tax will apply to the venue booking.
3. A $250 incidental/damage deposit will be added to your final bill. The incidental/damage deposit is refunded within 5 days after the venue is returned clean, your event does not go overtime, no damages to the space and venue equipment and there are no violations to using our venue terms.
4. The final bill is due a month before your event. We will email you a copy of your final bill a few weeks before your deadline as a reminder. Any late payments will result in penalty fees of $5 per day. Payments not made by 3 weeks before the event with no communication from you may result in the cancellation of your event and the release of your date.
5. If you book your event less than a month before your event date, we require full payment plus incidental/damage deposit at the time of booking. Please ensure the final bill is paid on time to avoid late fees. Final payments are taken through Zelle or the Cash app. We are currently not accepting final payments through credit card payments.
6. We now require security for all evening events and events serving liquor to enhance the safety of the event guests and staff while the event is going on.
7. A government ID will be required on file for all bookings to ensure that we can validate the person booking the venue and who is going to be responsible for the care of the venue and guests while the event is going on. All bookings must be done by an adult (25 years and older).
B. Event Cancellations and Rescheduling:
8a. If you cancel 6 weeks before your event, you lose the non-refundable retainer
8b. If you cancel your event less than 6 weeks before your event - all venue costs on the signed venue agreement will be due. No exceptions. Failure to pay for last-minute cancellations will require information to be sent to a collections agency for payment collection.
9. Should you need to reschedule your event, please ensure you notify
[email protected] 6 weeks before your event otherwise you will be responsible for the entire cost of the venue rental. The rescheduling fee is $150 - $350 depending on the location booked and event package booked, and the new event date must be within a year from your original event date. Prices may be adjusted to reflect the rescheduled date. Only 1 event reschedule is permitted per booking.
10. We have Edison and Sayreville, NJ venue locations. Note, these are two completely different venues and are not interchangeable. You are not able to change locations after your initial booking. We recommend that you see the desired venue location and know each venue’s guest capacity before reserving the venue. In rare cases where a change must occur, a $150 admin fee will apply to switch venues, and it will be based on availability at the new location. If the desired venue location is not available after your request to change it, you can maintain the original location otherwise the no cash refund/cancellation policy will apply. Please contact us on our business line at 732-640-5560 or [email protected] as soon as possible if you must change the venue location. The $150 admin fee will be due at the time of the change and will be based on the new location’s availability. The Edison location seats up to 60 people and the Sayreville location seats up to 100 guests.
11. No cash refunds are given once a payment is made toward the venue agreements.
C. Venue Rental Time Blocks and Other Venue Considerations
12. The Cool Venue rentals range from 4-hour, 5-hour, 6-hour, or 11-hour rentals. The number of hours indicated in the venue agreement includes time for setup/decorating, event time, and cleanup time.
13. The last hour of your time block is designated for cleanup. This means that the last hour is meant for gathering personal items, removing your event garbage from the venue, and broom sweeping the main room to a clean state. Music will need to be turned off 15 minutes into the last hour to allow time for cleanup so you and your guests can exit the venue on time. Our
onsite associate will remind you of timelines when you arrive and during the event.
14. The chairs and tables will be in the venue when you arrive. Our onsite associate can assist in setting up the tables and chairs at the start of your time block, help with simple setup onsite and answer questions about the venue. They do not run errands offsite. Extra venue time outside of the paid time block will be considered overtime and an hourly fee will apply.
Currently, it is $215 per extra hour at TCV Edison and $285 per extra hour at TCV Sayreville. Prices may be subject to change without notice.
Due to multiple events happening in a day at the venue, especially on weekends, you will need to inquire about availability for any desired extra time. In cases where you have a very detailed décor setup or have a unique event that will require vendors to a longer setup time, we highly recommend buying the 11-hour block, so you have adequate time for setup. Monday - Saturday: Have your event anytime from 10:30 am to 4:30 pm or from 5:29 pm to 11:59 pm (unless you purchase the 11-hour block).
Sundays: Have your event anytime after 2 pm to 11:59 pm. All events and venue guests have to exit the venue(s) by midnight.
15. Countertop spaces in our pantry have been designated to set up your event food and not on the venue tables due to the liability of food being potentially knocked over and for safety reasons. The Cool Venue will not be held liable for damages to food or injury if the event host or a host representative or your vendor chooses to set up food using our regular tables.
16. We respect all our clients and require the same accorded to all staff/security personnel working at and on behalf of The Cool Venue. We reserve the right to end an event should we feel that the behavior of the host and/or its guests are being uncontrollable or violating the terms of use of space. We will have a staff person/security personnel present at each event
unless otherwise communicated to you prior to your event.
17. You, as the event host, are liable for the behavior of all guests and vendors working in the space and must be in conformance with the venue's terms of use. Party planners and decorators should be informed of the venue rental time (which includes setup time, event time, and clean-up time). It is best to discuss with your party planners/decorators how much time is needed based on your vision prior to booking so you can obtain the appropriate venue rental package (whether 4, 5, 6, or 11-hour time blocks). All event rentals/decor must be picked up by the end of your time block. Rentals cannot be left inside the venue or anywhere on the exterior of the venue by the end of the time block. All trash from the event must be disposed of appropriately in designated trash disposable areas to avoid loss of the incidental deposit.
18. Beer, wine, and soft drinks are allowed for your event and must be free to your guests. A licensed and insured bartending company is required to serve liquor for your guests and it cannot be resold on our premises. No cash bars are allowed as we cannot sell liquor on the premises.
19. At this time, we are not allowing public or ticketed events at our venues. Please be sure to let us know the nature of your event if you are not before reserving the venue.
20. Due to the boutique nature of our venues, we now have a 15-minute self-tour that can be arranged for you to see the venues. We require that you see the space in person before booking the venue. The first person to sign the venue agreement and send the non-refundable retainer reserves the venue on the desired date and time.

22. Décor – We are able to provide décor for most events depending on your theme and budget. We recommend you book the venue first to reserve a date before requesting décor information. You are also free to bring your own décor company. Any venue decor items rented must be returned in the same condition to prevent loss of incidental deposit. Clients will be required to pay The Cool Venue for any damages exceeding the incidental/damage deposit. This also applies to damages to the venue or venue equipment
23. A Cool Venue associate/security guard will be present at the time of arrival of your event and during the event to ensure the event is going on well. If you are planning a religious event that requires a certain gender to be the associate (for example, if you request for a female versus male associate), ensure that is communicated prior to booking to ensure we can accommodate your request. For the safety of TCV guests and Staff, no form of violence or aggression will be tolerated at any of our venues. We reserve the right to end an event if the
host or his/her guests are not cooperating with the venue staff/security guard. If you have any questions or concerns during your event, you must ensure the venue associate is made aware of them so we can help resolve them immediately.
24. Not allowed on our venue premises:
• No smoking or vaping onsite and on the venue’s grounds/patios and in front of the building
• No glitter or confetti for examples those glitter dots in balloons and gender reveal confetti
• No use of any kind of tape on venue walls. Be sure to bring backdrop stands to attach decor items.
• No real flames except for warming food and candles for the event cake. Floating candles are allowed if they are in containers and the flames are not exposed.
• No helium air balloons are allowed in our Edison/Sayreville locations due to our high ceilings. Regular balloons are allowed.
• No extremely loud disturbing noise on-premises and in the parking lot due to residential buildings close to our venues. Guests will not continue partying outside the premises or in the parking lot of the venue after the event is over. No loitering of guests in front of venue premises while the event is going on.
• No use of live animals for performances or entertainment during your event
• No nudity allowed at any of our venues
D. Right to Use Event Images/Videos and Public Forum Website/Social Media Reviews
25. The Cool Venue reserves the right to use images and videos of your event details on its website and on its social media platforms.
26. We reserve the right to perform regular maintenance in the venue as deemed necessary to ensure a certain level of beauty and to ensure safety standards. Construction or remodeling may occur on premises as required. If this may impact your event, we will do our best to advise you as soon as possible.
27. Let us know if you have additional questions or concerns to see how we can help. The Client agrees to inform The Cool Venue of any dissatisfactory service provided within 24 hours of occurrence and agrees to a mode of rectification prior to any negative public review of venue services. It is a violation to leave a negative review (3 stars and under) on a public review
website or on social media without previously notifying The Cool Venue. Examples of public websites include but are not limited to (Google, Yelp, Instagram, TikTok, Facebook etc.) You will need to inform the venue by emailing [email protected] about any issues. This includes concerns prior to and during your event to enhance your overall experience at The Cool Venue.
